HomeMy WebLinkAbout2010-06-23DRC 06 -23 -2010 Page I of 3 ® Dryden Recreation Commission (DRC) Monthly Meeting Minutes Wednesday, June 23, 2010, 7:00 pm; Dryden Community Caf6 Members of Commission: Sharon Todd (chair), exp 10, Vicki Elkins, exp 11, Wendy Martin, exp 11, Elsie Gutchess, exp 12, Eric Hicks, exp 12 Community Association Member: Monica Knight, exp 10 Town Board Representative: Steve Stelick, Jr. Dryden CSD Liaison: Billie Downs, exp 6/10 Absent: Don Scutt (secretary), exp 10, Dan Schmohe, exp 10, Melissa Bianconi, Jason Leifer Business Meeting called to order at 7:00 pm. 1. Reading of the Commission's Meeting Minutes: A motion to approve the minutes of the last regular meeting of 5/26/10 was made by M Knight and seconded by W Martin. The motion passed. 2. Adoption of agenda — no changes 3. Recognition of guests and community communications No guests,this evening Announcements - DRC contact list — handout made its way around but not back to Sharon — please check your paperwork from last meeting and see if you accidentally took it - Revised membership protocol — this was forwarded to Supervisor Sumner for distribution to the Town Board 4. Recreation Department's monthly update — M. Bianconi via email Movie in the Park is now Movie in the Hollow, same date and time (8118 at dusk), different venue Music in the Park and accompanying Farmer's Market will start June 30'". Still working on MOU with Village — hoping to finish up by next Monday. Held first volunteer policy meeting. The next volunteer policy meeting will also be held at the town hall and is scheduled June 30' at 6 pm. 5. Town Board monthly update — S. Stelick Recreation master plan distributed to town board members — it will not become part of the Open Space Inventory,, They will remain two separate documents. Now that it has been distributed, feedback will be elicited and eventually it will be recommended for adoption by the Town Board. Resolution passed sponsoring the fireworks for the Dryden Lake Park festival and supporting that this be a town - sponsored and not a town -owned event Reappointed B Downs for another term MOU discussed — another meeting set with village for further discussion 6. Dryden Central School District Liaison monthly update — B. Downs Youth development committee on hold until July. Nothing new to report on that Community fireworks — talking to Ralph about doing advertising / PR for this event. Donations will be requested for parking — not a set fee. Opening concession stands as well. 7. Community Centers monthly update — M. Knight No reports from Bethel Grove, Etna or Varna. Ellis Hollow starting their summer events. Planned open house last week, but lack of water didn't allow pool to open for event Cafa notified received grant from DYOF for Kids at the Cafe series. Meetings going on for beginning of construction for handicapped access. If all goes well, end of July project will begin. Goal is to get different volunteer organizations to take weekend to work. DRC 06-23 -2010 Page 2 of 3 DYOF in September is having a DYO Fair Sept 11 (9 -noon) at the fire department. Showcase opportunities and activities for youth in the area. Kathy Whalen asked Monika to contact community centers to invite them to have a presence at the event. Next week, Monica's first column will run in the Tompkins Weekly. 8. Old Business: - Community Fireworks (E. Hicks, B. Downs) Eric went to the meeting. No food will be offered on campus. They would like a band. They wanted the Dryden marching band to do the national anthem prior to the fireworks starting. There will be some vendors, balloons and light up treats. They are selling VIP passes to get preferred parking. Most of the time was spent on logistics. Between the article in The Ithaca Journal and the conversation at the meeting, it was made pretty clear that holding the fireworks in Dryden is a one time event. Time is 9:45, July 13', 25 -35 minutes, $20,000. Friday the 2 "d is the rain date. - Dryden Lake Festival (M. Knight) D Schmohe sent out some emails soliciting volunteers and promoting the website. The site isn't quite finished but has some information on the races. Fire Departments will have some apparatus set up and will participate in canoe races. Need a special nozzle to do water ball, so that got axed. Sound on Sound is coming in to help with the sound and announcements. There is power at the new pavilion which is a big plus. He is going to do a walkthrough with Monica and help work out the lighting next week, Parking is coming together and signage — one way on W Lake and Chafee that day. May have up to 60 classic cars coming in. Vicki is working on some kids activities. J Guernsey has got a portable archery setup that he will be bringing. There is a revolutionary war setup with cannon. D Scutt in charge of vendors. Food will be handled by Sertoma, Kiwanis, and some others. Start time will be 2 pm, not noon. Insurance quote came in. It is cheaper to buy an annual policy than to get one for a single day. It was over $1000 for a day and $368 for an annual policy. Other events can be held under this policy if desired. A petting zoo is coming in. Bob Jacobson is coordinating a lecture, There will be a fishing derby. DEC has arranged to waive the license requirement for participants. R Sterling has been looking in to banners. 9. Sub - committee Reports - Areas & Facilities (W. Martin, V Wilkins) Committee did not meet, but V Wilkins did receive oopies of assessments done on area parks and community centers and they will spend some time this summer going to the parks and reviewing them in light of the assessments. V Wilkins will also be doing a Jim Schug trail assessment this summer. Montgomery Park update — waiting for survey to be done. - Programs (B. Downs, E. Gutchess, E Hicks) Learning background of programs and DRC to get up to speed. - Policies & Procedures (M. Bianconi, S. Todd) Volunteer coaches (meeting June 30, 6:00 p.m.) reported on earlier. Pricing — S Todd came some information on pricing to M Bianconi to review and help start a discussion. 10. New Business - A report of attendance was requested. Discussed how to proceed in regards to attendance issues. Next DRC Meeting: Wednesday 7128110; 7 p.m.; S Todd will be out of town. B Downs was asked to chair that meeting.
