HomeMy WebLinkAbout2000-05-08Dryden Recreation Commission May 8, 2000 - Meeting Minutes Present: Stewart Gray, Alice Green, Mike Almandinger, Bob Slocum, Steve Stellick, Bill Finnerty, Cande Carroll. Meeting held at Viking Lanes, Dryden, 8:00 a.m. Meeting was called to order by Mike Almandinger. Bob Slocum nominated Mike as commission chairman. Steve Stellick seconded. Mike suggested Cande take minutes and send to Bambi. Alice had collected commission members' and interested participants' Email addresses and said she would send to Cande for distribution. Mike said there is a web page set aside on the Town of Dryden website for the Dryden Youth Commission Penny Green in charge of it. (URL is httpl/www.dryden.ny.usfyouth.htm) and that Bambi can tell us more about it. Mission and Objectives. Mike suggested we brainstorm ideas and decide on them for next time. He suggested talking about "Mission" and 'Objectives" at the same time. Stewart asked what the exact task is of the Dryden Youth Commission. Alice suggested that the distinction is via funding and that the Youth Commission deals with "at risk" programs. She said we should know what they're doing. Bob said he would bring Youth Commission printed materials to our next meeting. Alice suggested that the Recreation Commission should be a Clearinghouse for Recreation Programs. Since one doesn't exist, the Recreation Commission needs to create one. Stewart said that we need to identify recreation activities other than sports, and covering all ages. Mike agreed that °Identifying Activities" should be a primary objection. Added that the Recreation Commission mission should include advising the Town Board on all things recreational. And that the Recreation Commission should be an Advocate. Alice added the commission should be a Resource for others who wish to advocate. And be an Information Clearing House. Mike added that the Recreation Commission should develop a brochure for distribution in schools, and places such as doctors' offices, and that we should seek information from all organizations to identify their activities. Mike agreed as well that the Recreation Commission should be a Resource. Bill suggested that the mission of the Recreation Commission be to enhance cooperation and coordination among various recreation providers throughout the town. Alice suggested that that could even include joint purchasing /ordering to reduce costs. 9 Bill questioned the subject of the Recreation Commission's involvement with Grants and Grant Research_ Bob asked if we are missing out on grant opportunities, Alice said many grants are available and that many people applied for the commission and some could possibly serve on a grants subcommittee. Mike added that they could assist in grant research. Bob added that Rachel Dickenson of Freeville has experience in grant writing. Regarding Objectives: Mike said the Recreation Commission should have a finite life. It should identify and seek information, and should also create a web site. Cande said that runJUMP was offering to create and maintain a website for the Dryden Recreation Commission. Bill added that the Recreation Commission should provide a structure for subcommittees. Mike also suggested that the Recreation Commission Investigate Physical Facilities for carrying out activities. Regarding a Survey: Bill said that to help in distribution a series of 30- second or 60- second radio public service announcements (PSAs) would help in distributing survey forms for the commission. It could direct people to pick up forms at the Town Hall or give a phone number for more information. Mike said it could also be announced in TidBits Area of Coverage: Mike also said it had to be determined what Area of Coverage the Recreation Commission would include. What "Service Area ?" Town of Dryden? School District of Dryden? Alice said it should be as "Inclusive" as possible. Town AND School District. Bob said also that the Recreation Commission should communicate with the Town of Groton. Alice questioned who the Recreation Commission should get clarification from on this? Should it only be an issue if Dryden kids are displaced? Bob suggested it should be up to the individual groups. Development of the Survey Form: Alice said that the Recreation Commission Survey Form should create a uniform set of information on each recreation group. Mike said the form should be available either from the Town Hall or downloaded from the web. Alice suggested, also that the form be included in the District Bulletin. Stewart wondered how quickly the district would need it in order to be included in the June Bulletin. Steve offered to find out their deadline. Stewart offered to develop the form which would include the following: The organization, what the activity is, service area, contact person, email address, start date, costs. Allice mentioned that Dryden school district won't let the Ithaca Youth Bureau distribute their brochure to the school kids. Stewart said the Hanger Theatre is able to. Mike wondered if the Recreation Commission and Ithaca Youth Bureau information together to the Dryden School Kids. Alice mentioned that IYB does three printings per year and added that Newfield and Lansing don't participate in the Youth Bureau programs. Stewart suggested combining information with that of other towns. Mike said that we should revisit the issue of distribution in the schools with the School District. Alice agreed that this would help clear up confusion. She said that Debbie Drew is responsible for these issues. N Printed Brochure: Bob suggested that the Recreation Commission should have a brochure for distribution by August for the fall programs. It should be a first effort with a clear message: "if you're not listed, get in touch with us." Alice raised the question of including school activities. Others commented that if the objective is to father and distribute information, then the answer was yes. Dairy Days: Stewart suggested the Recreation Commission could have a table or booth at Dairy Day, which was scheduled for June 10, 10:00 = 4:00, with a raindate of June 17. The booth could display the draft of the Mission Statement, could have the Survey Form available and runjump brochures on the table. Bob said that Brenda Carpenter was the contact for Dairy Day. Wrap up: Stewart asked that everyone come to the next meeting with ideas for the Mission Statement. Mike said that we would make a list of Objectives and Goals. Bill reiterated that he would get information on radio PSAs. Mike said he would check with Tom Hatfield on the Recreation Commission area of coverage. Bob brought up the question of a Budget for Printed Materials. The next meeting was scheduled for May 22, 2000 at 8:00 am at Viking Lanes. Alice said that she would send around the e-mail list of Recreation Commission members and interested people. isMike moved to adjourn the meeting.
