HomeMy WebLinkAbout2000-07-24Dryden July 24 Recreation Commission 2000 — Meeting Minutes Present: Mike AUmendinger, Tom Hatfield, Bill Finnerty, Bob Slocum, Alice Green, Stewart Gray, Cande Carroll Mike called the meeting to order. Discussion started regarding the different lists that the Recreation Commission either has acquired or is developing. There was a question regarding "authority" to use the information contained in the lists, an example used was the Facilities list_ One idea was that a letter can be sent to all persons listed as contacts for on the Facilities List asking them for correction and expansion of the information that we do have on each group. A second idea was to call each person listed as the contact. There was a question posed as to how much time Bambi Hollenbeck might have to handle either of the methods. Tom mentioned that the Recreation Commission doesn't officially have a budget, that we should just ask Bambi how much time she has, Mike mentioned that since Bambi is the town's representative to the Country Recreation Committee that she should be invited to one of our meetings. He said that he would talk to Bambi and see what is possible for in terms of assistance for the brochure organization and printing. Mike brought up what the web page would be like— Tom said that responsibility for the town web site is the responsibility of the Town Clerk. Diane McFall handles all issues regarding the website_ Mike mentioned to be sure that Bambi was on the Minutes Distribution List and that she would forward the minute to the Village of Freeville. Mike brought up the subject of the radio Public Service Announcements and said that it rad the previous Friday in the morning, at noon and possibly more often. Mike took the discussion back to the Facilities List and suggested dividing up calls to the ® contact names on the list among the Commission members. Taking discussion back to list checking, Tom said that possibly we could go to the Town and recruit Serteen or other young people to help out, possibly paid, possibly not. But that the groups on the Facilities List do need to be contacted. Alice mentioned that one of the questions that should be asked during the call would be to ask the contact person to recommend other organization that the Recreation Commission should contact. Bill suggested finding youth volunteers and putting a "Thank You" letter in their school files, Tom and Alice started discussion of what kind of "Job Description" we would have to recruit the youth workers. Kids could be asked to come tot he Town Hall. Bob suggested we treat it like an internship. Alice suggested working up a script for the young volunteers to use, such as: "Hi, I'm Susan Stone..." Tom suggested that the Recreation Commission focus somewhat on policy but did not elaborate. Discussion turned back to expanding the information on the Facilities List. Tom said we would have unlimited use of the copy machine at the Town Hall, and questioned how much of Bambi's time would be available. And that there would need to be a budget meting to put our needs into dollars. The Commission has serious deadlines to meet. That we're not talking about a lot of money, but we needed to start by asking, Alice suggested that the youth would need a supervisor. Tom said that we could get a couple of young girls to help. That we need to get mobilized. Stewart suggested sending an e-mail to the members of Serteen to see if they would like to get involved. Regarding the List of Brainstormed Ideas: Alice oflfered to a -mail a copy of the list to the Commission members. In order to coordinate the youth effort, Mike suggested we discuss possible evenings that the youth could work, telling them we need a brief synopsis of each organization, the other info that we need along with the script. Bob reiterated that calling this organization research an internship would get more kids interested. Tom said that kids need such service and volunteer work. Suggested that Ashley had the need and he knows that she has the time. Mike said in talking about who we go to for help, he knows that Joanne Holland's group needs money. Mike suggested that Tuesday and Thursday nights were available. That if someone else could coordinate it, he could be there at the Town Hall for their work. Alice suggested we contact kids' advisors. Tom suggested Alice call Ashley and get names of other kids from her: Possible Serteen, National Honor Society. About four volunteers— They'll attack the job quickly. It was decided to do the project as an internship. That there's real value in community service such as this. They'll need a script, telephones and copies of the lists we have to check, Several times were suggested: 7 -9 pm, 6:15 and 6:30; starting Thursday, July 27, for orientation and brainstorming; and for the followuig Tuesday, August 1. Alice would work with the kids on Tuesday. Other Business Mike asked Bob what was coming of formation of the Facilities Subcommittee. It was mentioned that Larry Hinkle, considered as a member of the committee, had given his notice and was taking a position in Cincinnati. The will still consider Steve Woodard. Larry had suggested Ralph Shortell(?), director of Student Activities at TC3. It was mentioned that Dave Hall does contract management for Dryden Youth Services and that they have all sorts of youth programs. But Youth Services carefully excludes the area of recreation— which brought up the question of the Recreation Commission and Youth Services which entails both a lot of crossover and a lot of confusion. Alice mentioned the question of playground -based programs that are at the heart of many recreation programs and that money is often more available for youth services than for recreation. Bob mentioned that there has been talk about development of a Recreation Center, an issue that's been boiling for some time. He mentioned that it's a question of "Perception" (what people say they want); versus "Reality" (what people will use); versus "$$" (what people will actually pay for). Alice mentioned the availability of State Education Department Construction money. That there is money out there for construction. It would be worth looking at it again to see if low interest dollars would be available. Mike mentioned the possible availability of Tobacco Settlement money. Tom mentioned that the Intermurnicipal Committee is at a crossroads and there may be lots of things starting to coalesce into somethings that wouldn't have been available five years ago. Mike reminded the members present that this is just our first year and it will take the first few years to find out what our responsibilities are. Tom said that if we become the Clearing House for information, that this body will have the power to influence decisions at the county and at the state level. There were several people mentioned as people to contact regarding filling out our listing of recreation groups, including: John McNerney of the Cortland City Youth Bureau. Alice mentioned that she would not be able to attend the next meeting (August 7) as she would be on vacation. There was a suggestion that if Viking Lanes was closed August 7 the Dryden Recreation Commission would meet at the Village Hall. There was a move to adjourn the meeting and it was seconded.
