HomeMy WebLinkAboutMN-YBAB-2011-11-01 youth:Resources:Executive Assistant:IYB Advisory Board:2011:IYB Advisory Board Minutes November 8 2011.doc November 8, 2011 Meeting Minutes Attendance: Chris Milner, William Murphy and Shannon Terry Excused: Jen Mainville and Annabel Fowler Absent: Eddie Rooker, Allison Lewis and Kirtrina Baxter Staff: Allen Green, Jody Hallett-Harris and Jen Handy Guests: September Johnson, Alice Johnson-Hales and Patrick Hollister --------------------------------------------------------------------------------------------------------------------- Meeting called to order at 6:02 p.m. by Chris Milner Review and approval of Minutes: The Minutes from the October 11, 2011 were approved unanimously. Allen did a quick update regarding the Budget and advised that there were 6 areas of concern for the IYB and after meeting with Common Council, the Mayor and Steve Thayer, 5 of the 6 were approved. Of these were 4 recreational programs and the BBBS Program dues. The item that was removed was for Cass Park and that was money for construction supplies to fix the fields due to all the water this past season. A big thank you was given to Allen for all of his hard work on the budget this year! Fundraising efforts: Board thoughts: If staff time is included as a cost then almost none of the fundraisers would make money. How do we quantify other elements that benefit the program/participants in other ways? How do we evaluate fundraisers to determine what is most fruitful? What is worth it? What will bring us the most positive attention and publicity? Then can follow up the positive publicity with volunteer requests and donation requests (ties with the Friends campaign) Bill mentioned that there is also a cumulative effect of having so many events. People understand there is a real need at the IYB. Others mentioned that it could also mean that people are less likely to feel the urgency that might be attached to one event. Monitoring/Shadowing Follow-up: PSMP and Youth Council still have not been monitored and Shannon stated she will schedule with Jen after the meeting and Bill Murphy will get in touch with Eloise of PSMP and schedule right away. youth:Resources:Executive Assistant:IYB Advisory Board:2011:IYB Advisory Board Minutes November 8 2011.doc Allen explained to the three guests about monitoring and shadowing and why it needs to be done. Specifically that 2 of the youth development programs, Youth Council and PSMP, have to be monitored each year as they received funding from OCFS. The 2012 meeting dates were discussed and it was approved unanimously that the meetings will now be held the 2nd Tuesday of each month at 6:00 p.m. Jody will email the dates to all members. Due to program schedules, some of the meetings will be held in the 2nd floor conference room and some will be held in the 1st floor activities room. Caroline Lees has resigned from the Board as she is expecting a child and Annabel Fowler will not be seeking reappointment for the next term. Chris Milner will check with Jen Mainville regarding her reappointment and Chris stated that he would like to be reappointed and Jody will follow up with the Mayor’s Office and Sarah Myers of the Clerk’s Office. Annabel Fowler emailed and stated that Lauren Latella will be coming to the meetings. Patrick Hollister turned in his application for an at-large member and this was approved unanimously by the Board. September Johnson has applied for a Mayorial appointment and Jody will send that on. Nominations of officers: Chris Milner nominated Shannon Terry as Chair Bill Murphy nominated Chris Milner as Chair and Patrick Hollister as Co-Chair Votes will be taken at next month’s meeting. Jen announced that the Friends of the IYB are seeking volunteers to help with the Ithaca Alternative Gift Fair and encouraged folks to come out and participate and help out. Jen will send out an email with more information regarding this. Jen also handed out a worksheet entitled: “Volunteer Wish List” and ask that members please write down any person/persons who is on their volunteer wish list and who they would like to be involved with in the next two years. These worksheets are due at next month’s meeting. Some suggestions given were, parent with young children and teachers. Shannon Terry advised that the Tompkins Connect is having a jump on board event on 1/26/2012 and would like to see this Board participate. ADJOURNMENT: 6:59 p.m.
