SUBJECT: Volunteer Company Appropriations
Since the September Board of Fire Commissioners meeting, we have completed the review and research
necessary prior to issuing volunteer company appropriation checks for fiscal year 2000.
Administrative Assistant/Financial Eileen Camp has confirmed that the 2000 budget funded total
volunteer company appropriations at$4,000. For the year 2000, the Volunteer Company Contracts set a
minimum number of five active members for a company to be considered an "active"company and to
receive its full proportion of company funding (one-eighth of the total appropriation which for this year is
$500 per company). The contract provides for a company that is put on notice to receive a prorated share
of funding the following year, based on its number of active members.
Calculations show that Companies 1, 4 and 7, which had been put on notice in 1999, did not reach the
required membership level needed for the year 2000. Average numbers of members for each company
are listed below. Also listed are the proportion of the membership minimum achieved by each company
that is deficient and the allocation to the company, based on this percentage. (Each company possessing
the required number of members would receive$628 for the year 2000.)

Each company(with possible exception of Co.4)currently is lacking in submitting quarterly reports of
meetings and member attendance. Submission of the required records will be required before the
company can receive its check. Meeting and attendance information lacking (in months by company) is
listed below:

Because of a change in officers, IVFU attendance records for 1999-2000 are incomplete, and therefore
the department will not consider as a condition for funding the requirement of company representation at
these meetings. Other contract provisions appear to have been met.
Volunteer company appropriations, as outlined above, will be issued for processing in the second
October audit.
