Re: Proposal for Marcham Hall Addition/Improvements
Dear Kate,
We have prepared the following Fee Proposal and Construction
Budget for the above referenced project. The scope of work is
based upon the Village Engineer’s report dated 10/5/10 and our
discussion of your wishes during my site visit/interview as
outlined below. The architectural services included in this
Proposal as “Basic Services” shall include the following:
BASIC SERVICES
•
Meet with you to identify your requirements for the
project
•
Visit the site to observe and document existing
conditions and verify accuracy of plans you provided
•
Create site plan and building schematic design proposal
for your review and approval
•
Modify as necessary and develop approved schematic design
and prepare CAD drawings
with general material
specifications for the project, including a rendered
view to establish the “look and feel” of the design
solution
•
Modify as necessary and prepare construction budget for
review and approval
•
Finalize all material selections with you and prepare a
complete set of construction documents including all
necessary schedules, details and specifications
•
File drawings with local authorities including “stamping”
for
approval and permitting

Note: Bidding with Contractors and Contract Administration
(construction phase services) are not included in the Fixed
Fee for Basic Services and will be performed on an hourly
basis if required by the Project. See hourly rates below.
PROJECT PROGRAM
The following represents our preliminary understanding of your
program for the project. The sq. ft. size shown is
approximate and based upon the sketches we prepared. The
sketches are offered to establish a starting point for the
design and reflect initial ideas from our discussion at the
interview.
•
One story addition approx. 500 sq. ft. to the rear of the
building located directly behind the existing Police
Chief’s office,
Kitchen and Sergeant’s office
•
New spaces desired are men’s and women’s handicapped
accessible toilet rooms and a jury/private meeting room,
both accessible from the court room
•
Consider retaining existing rear loggia to minimize
demolition costs and impart historic character to new
addition. Remove and store slate roofing tiles for future
repairs to main roof
•
Police Chief’s office may be moved into new addition for
access to light and fresh air
•
Jury/meeting room may occupy existing Police Chief’s
office with an existing doorway to front hall reopened
allowing direct public access without disturbing the court
room
•
Open new doorway through rear wall of existing kitchen or
Sergeant’s office to access new Police Chief’s office
CONSTRUCTION BUDGET
The construction budget of $100 per sq. ft. proposed by the
Village Engineer is below market rate according to our

experience. We understand that by making use of some Village
DPW labor and possibly having Mr. Cross manage the
construction, the target of $100 per sq. ft. can be achieved.
This seems reasonable and as such, the proposed budget of
$60,000 shall be the basis for this proposal.

Invoices shall be submitted for payment upon completion of the
following phases of the work. Payments are due within 15
days of invoice date.

CONSULTANTS
We do not anticipate the need for any consultants on this
project. Any engineering required for the proposed stand
alone heating and cooling system is expected to be
performed by the mechanical contractor and manufacturer’s
technical departments as a “Design-Build” service.

ADDITIONAL SERVICES
Our total fee shall not exceed the amount listed above if
the scope of work does not differ substantially from that
described above. If the scope is altered, then our additional
services shall be billed hourly at the rates below.
Additional services also include Bidding and Contract
Administration (no charge for travel time).

EXPENSES
In addition to to our compensation above we propose to be
reimbursed for expenditures made by us specifically for the
project, such as: transportation, reproduction of documents,
film and developing, plotting of documents, delivery services
and other similar expenses. Our reimbursable expenses shall be
billed to you with a 1.25 multiplier. We do not anticipate
this cost to exceed $400.00
EXCLUSIONS
The following services are not provided as part of the
proposed fee:
•
specifying or purchasing free-standing furniture, carpets,
art and accessories
•
landscape design or specifications
•
electrical load calculations and circuiting design
•
LEED certification
Thank you for the opportunity to submit the above fee proposal
and project budget estimate. I hope it establishes more
clearly the scope of the work that we envision. Should the
scope or the costs shown above differ greatly from your
expectations, please let me know and we can discuss some
options.

Letter Agreement for your review and signature.
