t Head /Open Meeting will be held on the
preferably at 7 P.M. At this meeting, there will
be NO Privilege of the Floor. The of this meeting will be to discuss day to day
matters with department heads, as as hear their reports (which will be distributed in the
Board packets). Each department and the m^yor. will only present a summary of theit
No presentations will be given during privilege of the floor. Presentations will be scheduled
and put on the agenda. After the presentation, the Trustees will decide whether to "take or
delay actton" on the presentation. Als!, only one presentation Per person during privilege of
the floor.
3. Agendas
Old Business and New Business will bp added to the agenda. Approximate times for each
agenda item will be listed by the Mayof and Cletk, and be added along side the item. This
does not bind the board to adhere to these time limits, but will serve to indicate how long
each agenda item is anticipated to take and keep everyone focused. An agenda item entitled
"Trustee Privilege of the Floor" witl bp added for any Trustee who wishes to bring up a--- --D- J a
topic. A final agenda item, "Adjourn"f will be added with the time "9:30 PM". The meeting
monthly reports to the Trustees with any pertinent new business. The Treasurer will ptesent
the transfers and the abstract of voucHers. The Board can question the depattrnent heads
aboutparticu1arvouchersbeforeapprovingtheabstract
In order for this to work, all packet information must be to the Clerk by Tuesday aftemoon
(one day eariy). The packets will then be ready for pickup by the Trustees at noon on
\Tednesday, giving them time to read dhe information before the Thursday evening meeting.
This will clear the Monday night Boat{ meeting for regular meeting agenda items, additional
board business and even perhaps Planhing Board Meetings. Any items needing additional
time will be added to the Agenda fot tlre Monday meeting.
2. Privilege of the Floot - Molrday night meeting only
It is suggested, while keeping things o{dedy, to have a ftee flowing interaction between the
public and the Trustees. Reasonable {me limits will be imposed based upon the number of
citizen's paticipating, such as 2 minut{s if we have 72 or more in the audience; mote time
(perhaps 3-5 minutes) if there ate less in attendance.

4. Roberts Ruies of Otder

The Village adopted Roberts Ruies of Order as its rules f f procedue; however, they are
extensive and complicated. NYCOM has published sample rules of ptocedure to serve as a
guidetine to be tailored to the specific needs of a Village. lThey are attached. Norma will
adapt these to the Village for Trustee arpptoval. Aftet th$ Board approves, a resolution will
be passed to that effect.

5. Special Meetings
I
With the addition of the Thursday meetings, it may not ble necessary to have additional
special meetings for specific issues th^t m^y consume alltge portion of a tegulat boatd
meeting. These may ftt.i..ly on Mondays. That option f ill be left open for discussion
depending on the issue.
6. The Board will continue to have separate meefings orL afly case that the Boatd
acts as a Pianning Board.
